Creating and Managing Reports
You create and edit client reports from Portal Audits, not from a blank canvas. Each completed audit gets at most one report. Opening it later keeps the modules and settings you already tuned.
Where to start: Portal Audits list
Open Portal Audits. On each completed audit, next to Public Link, you will see one icon:
- Plus — Create client report when that audit has no report yet.
- Pencil — Edit report when a report already exists.
That list is the front door. /reports/ still lists reports and can open New Report, but it is secondary. Prefer the plus / pencil on the audit so the report is pinned to the right snapshot.
If you click create on an audit that already has a report, HubCreate opens the existing one instead of making a second copy.
First Create: seeds from Select Reports
The first Create for an audit:
- Pins the report to that completed audit snapshot and client account.
- Seeds a cover, contents, executive summary, and key findings.
- Adds content modules that match the audit’s Select Reports checkboxes (Technical, Traffic, Workflows, Marketing Contacts, Sales Automation, and so on).
- Opens the Report Builder.
If Select Reports was empty or only unrecognized keys, HubCreate falls back to a full-portal starter layout. You can still remove or add sections in the builder.
Reopening / editing does not re-seed
The pencil (or create-from-audit when a report already exists) opens the current report. It does not rebuild modules from Select Reports again.
That means:
- Toggles, Users limits, top-N values, and section order you saved stay as you left them.
- Changing Select Reports on a new audit request does not rewrite this report.
- Re-running a Portal Audit creates a new snapshot. Settings → Source audit can point at a different completed audit; that updates the data the report reads, and still does not re-seed the module list.
Report editor overview
The builder is a three-pane partner editor:
- Preview canvas — letter-sized sheets (cover, chapters, contents) so what you edit looks like the PDF.
- Module list (Report / Add) — the outline of sections. Drag to reorder, open a section to configure it, or add / remove modules.
- Settings — report name, pinned source audit, optional workflow map (for map-only Workflow Health modules), branding (accent, Prepared by / Prepared for, footer). Logos come from organization and client account settings, not from a share box.
The header has Settings, Generate PDF, and Save. There is no Builder Share control. Use the canvas while you edit; use Generate PDF for the file you send.
Each audit-backed module has Content and Display controls (show_, limits, top-N). Nested options gray out when their parent toggle is off. Show About this section* (on by default) adds the quiet explanation callout in preview and PDF.
Saving, conflict handling, and regenerating after audit changes
- Save keeps the report. Module Apply writes that section’s config; the header Save marks the report ready to keep.
- Another tab — if the report changed elsewhere, HubCreate stops the write with Report was modified in another tab. Please reload. Reload, then continue so you do not overwrite a teammate’s edit.
- After the audit changes — preview and PDF always read the currently pinned snapshot. A new audit run does not retarget this report. To use a newer snapshot, pin that completed audit in Settings (modules stay as configured). Then Generate PDF again.
Typical workflow
- Finish a Portal Audit (Select Reports already chose what to collect).
- On the Portal Audits list, click Create client report.
- In the builder, hide empty subsections, set the Users limit, and check Workflow Issues reads as counts.
- Review the canvas the way a client will see the PDF.
- Generate PDF, wait for the download, and skim the file.
- Share the audit Public Link with the client, and send the PDF as the keepable readout.
