Report Modules and Settings

The Report Builder is a stack of modules. Most of them are seeded from the Portal Audit’s Select Reports checklist. You then use each module’s Content and Display flags to decide what the client actually sees.

How Select Reports maps to report modules

On New Audit, each checked item is stored on the audit. First Create turns those keys into report modules:

Select Reports Client-report module
Users & Permissions, Domains, Tracking Code Technical Setup
Contacts / Companies Data Quality, Deal Data Quality Object Analysis
Property utilization Data Health
Visitors / Contacts / Opportunities / Customers by Source Traffic Analysis
Contacts created, lifecycle breakdown, stage by source Lifecycle
Workflow Snapshot, Automation Health, Object Type Mix, Workflow Issues, Most Used Properties Workflows
Marketing Contacts Marketing Contacts
Email Health / Performance Email Health
Form Performance Form Performance
Pipeline / Rep Performance Pipeline or Rep Performance
Sales Automation Sales Automation (Deal Workflows)
Service Channels, Knowledge Base, Tickets, Service Automation, Feedback Service Hub

Several checkboxes can share one module (for example three Technical items become one Technical Setup block with subsection toggles).

Not in Select Reports — leave these on Maps / Signals:

  • Workflow Connections (the map of how workflows relate).
  • Map-style Workflow Health / issue tooling that pins a Workflow Map. Settings still has an optional Workflow map field for those modules only.
  • Portal Audit Workflows in the client report always prefer the audit-time HubSpot snapshot, not a live map pin.

Cover / report chrome

Every first Create also seeds report chrome:

  • Cover — title (defaults to the report name), subtitle (client account), Show logo, Show name, Show report date, and title placement. Logos are the organization and client uploads. Prepared by / Prepared for come from Settings, or fall back to the organization and client (or portal) names.
  • Contents — chapter list with the same area numbers as the in-report bands.
  • Executive Summary and Key Findings — see below.
  • Branding in Settings — accent color and footer line. Leave blank to use Portal Audit / organization defaults.

Per-module settings pattern

Open a module to see Content and Display:

  • show_* toggles hide a chart, table, subsection, About callout, or Findings recap without deleting the module.
  • Limits / top-N cap how many rows appear (traffic sources, emails, forms, reps, most-used properties).
  • Nested fields gray out when the parent toggle is off.
  • Apply saves that module. Preview and PDF use the same config.

Users list limit

On Technical Setup → Users to list:

  • Default is 20 users in preview, the public report canvas, and PDF.
  • Enter 0 to list everyone.
  • When the table is truncated, the report shows Showing X of N.
  • The limit is display-only. The audit still collected the full user list; you are only choosing how many rows to print.

Use 20 for a short readout. Use 0 when the client asked for a complete access review.

Workflows

When Workflows was selected, the client report can include:

  • Workflow Snapshot — volume and mix from the portal audit snapshot.
  • Automation Health — health-style stats from that same snapshot.
  • Object Type Mix — workflows by object type.
  • Workflow Issues — counts of workflows per issue (not name chips). The live Portal Audit UI may still show names; the client report does not.
  • Most Used Properties — configurable top-N (default 10).

Turn individual blocks on or off from the Workflows module Display flags. Do not expect Workflow Connections here.

Marketing Contacts & Sales Automation / Deal Workflows

These are first-class client-report modules when you selected them on the audit:

  • Marketing Contacts — marketing contact usage / tier from the snapshot.
  • Sales Automation (Deal Workflows) — deal-based automation stats. Five KPI cards share one row in preview and PDF so labels stay inside the page inset.

If you did not select them, they are not seeded. You can still add a compatible module later if the pinned snapshot has the data.

Executive Summary & Key Findings

  • Executive Summary rolls up narrative and priority flags from the pinned audit.
  • Each hub chapter can end with a Findings & Highlights recap (Issue / Highlight pills) built from that section’s flags. Turn the recap off per module if you want a cleaner page.
  • Key Findings (partner comments / findings page) is the closing navy chapter. It uses the audit’s key findings and any partner comments on the snapshot — not a live HubSpot refresh.

Empty / partial data

If a module is on but the snapshot has little or nothing for it, clients see a short empty state such as This snapshot does not include this data — not a prompt to “pin an audit.”

Practical options:

  • Hide the subsection (show_* off) or remove the module so the PDF does not carry a blank chapter.
  • Confirm Select Reports actually collected that hub on this audit.
  • Pin a different completed audit in Settings if you meant a fuller snapshot — that does not re-seed modules, so turn sections on only when the new snapshot has the data.
